Tradeaze Ltd ("Tradeaze", "we", "us", "our") is the data controller responsible for your personal data.

We are not required to appoint a statutory Data Protection Officer under Article 37 of the UK GDPR. Questions about how we handle your personal data, or requests to exercise your rights, should be sent to our privacy team at privacy@tradeaze.uk.

This privacy policy applies to the Tradeaze marketing website at tradeaze.uk. Separate privacy policies apply to the Tradeaze booking application and the Tradeaze driver application.

2. What personal data we collect

Contact form data — name, email address, subject, and message content, when you use our contact form.

Technical data — IP address, browser type, device identifiers, operating system, and approximate location, collected automatically when you visit the website.

Usage data — pseudonymised information about how you interact with the website, such as pages visited, time spent, and navigation paths.

Chat data — messages and information you share through our live chat widget (powered by Intercom), including your name and email if you provide them.

Providing personal data through the contact form or live chat is voluntary. Without it, however, we will not be able to respond to your enquiry.

3. How we collect your data

We collect personal data:

  • Directly from you — when you submit our contact form or use live chat.
  • Automatically — through analytics and tracking technologies when you visit the website. These are only active if you accept cookies via our consent banner.

Where we rely on legitimate interest, we balance our legitimate interests against your rights and freedoms before processing.

5. Who we share your data with

We share personal data with the following categories of service providers, all of whom act as data processors on our behalf under appropriate data processing agreements:

  • SendGrid — email delivery for contact form submissions. Hosted in the United States.
  • PostHog — website analytics (pseudonymised). Hosted in the EU (eu.posthog.com). Only active when you accept cookies.
  • Intercom — live chat support. Hosted in the United States. Only active when you accept cookies.

We may also disclose your personal data where required by law, regulation, or court order.

6. International data transfers

Our website is hosted in the UK and EU. Some of our service providers process data in the United States. Where data is transferred outside the UK, we ensure appropriate safeguards are in place through UK adequacy decisions, the UK International Data Transfer Agreement (IDTA), or the UK Addendum to the EU Standard Contractual Clauses.

7. Your rights

Under the UK GDPR, you have the following rights in relation to your personal data:

  • Right of access — request a copy of the data we hold about you.
  • Right to rectification — ask us to correct inaccurate or incomplete data.
  • Right to erasure — ask us to delete your data where there is no overriding legal reason to keep it.
  • Right to restriction — ask us to limit how we use your data while a query is resolved.
  • Right to data portability — receive certain data in a structured, machine-readable format.
  • Right to withdraw consent — where we rely on consent (e.g. analytics and live chat cookies), withdraw it at any time by clicking "Cookie Preferences" in the website footer.

Your right to object

You have the right to object at any time to our processing of your personal data where we rely on legitimate interests, including our use of contact form submissions to respond to enquiries and our use of data to keep the website secure. If you object, we will stop processing unless we can demonstrate compelling legitimate grounds that override your interests, rights and freedoms. To object, contact privacy@tradeaze.uk.

Automated decision-making

We do not carry out automated decision-making that produces legal or similarly significant effects.

Exercising your rights

To exercise any of these rights, contact privacy@tradeaze.uk. We will respond within one month. For complex or numerous requests, we may extend this by a further two months, but we will let you know within the first month if this is necessary.

You also have the right to lodge a complaint with the Information Commissioner's Office — see section 13 below.

8. Data retention

We retain personal data only as long as necessary for the purposes it was collected.

  • Contact form data — retained for up to 2 years after your enquiry.
  • Analytics data — retained for up to 24 months (pseudonymised).
  • Chat data — retained for up to 12 months after your last interaction, then deleted.

When data is no longer required, it is securely deleted or anonymised.

9. Cookies and tracking

10. Data security

We take appropriate technical and organisational measures to protect your personal data, including encryption at rest and in transit, access controls, and regular security reviews. No method of transmission or storage is completely secure — if you become aware of a vulnerability, please contact privacy@tradeaze.uk.

11. Children's data

Our website is not directed at children. You must be at least 18 years old to submit personal data through the website.

12. Changes to this policy

We may update this policy from time to time. When we make material changes, we will update the "Last updated" date at the top of this page.

13. Complaints

If you are unhappy with how we have handled your data, please contact us at privacy@tradeaze.uk. We will acknowledge your complaint without undue delay and aim to respond within one month.

If you are not satisfied with our response, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk or by calling 0303 123 1113.
